BoothEasy (“BoothEasy,” “we,” “our,” or “us”) provides photo booth, video booth, event photography, event content, instant photo delivery, AI-enhanced event experiences, brand activations, and related services.

This Privacy Policy explains how we collect, use, disclose, and protect personal information when individuals visit our website, submit forms, communicate with us, book services, attend events where BoothEasy is providing services, participate in BoothEasy experiences, receive photos or videos from us, or interact with us by email, phone, SMS, MMS, or other channels.

By using our website or services, you acknowledge this Privacy Policy.

1. BoothEasy’s role

BoothEasy may process information in different roles depending on the context.

When BoothEasy collects information directly through our website, sales forms, booking process, proposal process, invoices, direct communications, or marketing activities, BoothEasy generally acts as the business, controller, or independent operator of that information.

When BoothEasy provides services for a client event, BoothEasy generally acts as a service provider or processor for the client, sponsor, agency, planner, venue, brand, employer, or event organizer that hired us. In that context, we process attendee or participant information to provide the requested event experience, deliver photos or videos, operate galleries, support the activation, generate event content, provide analytics or reporting, and perform related services.

The client, sponsor, agency, planner, venue, brand, employer, or event organizer may act as the business, controller, or responsible party for certain information collected at the event. Event organizers are responsible for providing any required notices, consents, permissions, releases, signage, or disclosures for their event.

2. Information we collect

We may collect the following categories of information:

A. Contact information

This may include your name, email address, phone number, company name, job title, mailing address, billing address, and other information you provide when contacting us, requesting a quote, booking services, submitting an event form, or participating in an event experience.

B. Event and booking information

This may include event name, event date, event location, venue, planner or client contact details, service selections, proposal details, invoice details, contract details, setup information, timeline information, guest or attendee experience details, and other event-related information.

C. Photo, video, and event content

When you participate in a BoothEasy experience, we may collect, create, process, host, display, deliver, or store photos, videos, GIFs, boomerangs, audio, AI-generated outputs, AI-enhanced outputs, overlays, microsite pages, gallery images, event recap content, and related event materials.

D. Photo delivery information

If you request delivery of photos, videos, galleries, or event content, we may collect your email address, mobile phone number, or other delivery information so we can send you access links, galleries, digital files, or related event content.

E. Communications information

If you communicate with us, we may collect records of those communications, including email messages, text messages, call records, form submissions, quote requests, support requests, and related metadata.

F. Payment and transaction information

We may collect information related to proposals, contracts, invoices, payment status, and transaction records. Payment card or bank information may be processed by third-party payment processors and is not generally stored directly by BoothEasy.

G. Website, device, and usage information

When you visit our website or interact with digital experiences, we may collect information such as IP address, browser type, device type, operating system, pages visited, referring pages, approximate location, cookie data, analytics data, and other usage information.

We may collect records showing when and how you provided consent to receive communications from us, including SMS/MMS consent, email marketing consent, opt-out requests, unsubscribe requests, communication preferences, timestamps, source forms, event names, IP address, device information, and the consent language shown at the time of opt-in.

3. How we use information

We may use personal information for the following purposes:

To provide, operate, and deliver BoothEasy services.
To create, process, host, display, and deliver photo, video, AI, and event content.
To send photo delivery links, gallery links, event content, booking updates, service updates, and support messages.
To respond to inquiries, quote requests, support requests, and client communications.
To manage proposals, contracts, invoices, payments, scheduling, logistics, staffing, and event operations.
To personalize and improve our website, services, workflows, and event experiences.
To support public or private event displays, galleries, microsites, branded experiences, sponsor activations, and recap deliverables.
To send marketing communications where permitted by law and consistent with your communication preferences.
To comply with legal, tax, accounting, contractual, insurance, and regulatory obligations.
To protect the rights, safety, property, and security of BoothEasy, our clients, event attendees, team members, contractors, and service providers.
To maintain records of consent, opt-ins, opt-outs, unsubscribe requests, and communication preferences.

4. SMS/MMS/text messaging policy

BoothEasy may send SMS or MMS messages for purposes such as photo delivery, video delivery, gallery access, event content delivery, event-related updates, booking communications, customer support, service reminders, and limited follow-up communications.

Where required, we obtain consent before sending text messages. Consent may be collected through website forms, event forms, QR-code experiences, check-in forms, photo delivery screens, booking forms, client communications, or other clear opt-in methods.

Message frequency varies. Message and data rates may apply. Your mobile carrier is not liable for delayed or undelivered messages.

You may opt out of text messages at any time by replying STOP. You may request help by replying HELP.

Consent to receive text messages is not a condition of purchase. Where available, you may choose another delivery method, such as email.

BoothEasy does not sell, rent, or share mobile phone numbers, SMS consent, MMS consent, or text-message opt-in data with third parties, affiliates, lead generators, or other organizations for their marketing or promotional purposes.

Mobile information, SMS consent records, MMS consent records, and text-message opt-in data will not be shared with third parties or affiliates for marketing or promotional purposes.

We may share limited information with service providers that help us operate our business and deliver our services, such as messaging providers, email providers, gallery hosting providers, CRM providers, payment processors, cloud storage providers, analytics providers, AI technology providers, and event technology providers. These service providers are permitted to use information only as necessary to provide services to BoothEasy and are not permitted to use mobile opt-in data for their own marketing or promotional purposes.

6. Email communications and unsubscribe rights

We may send transactional or relationship emails related to quotes, proposals, contracts, invoices, event logistics, photo delivery, gallery delivery, customer support, or ongoing services.

We may also send marketing emails where permitted by law. Marketing emails will include a way to unsubscribe or opt out of future marketing emails. You may opt out of marketing emails at any time by following the unsubscribe instructions in the email or contacting us directly.

Even if you opt out of marketing emails, we may still send non-marketing transactional or relationship messages, such as messages related to an active booking, event, contract, invoice, service request, gallery delivery, legal notice, or account matter.

We may share information in the following circumstances:

A. With clients and event organizers

If BoothEasy is hired by a client, sponsor, agency, planner, venue, brand, employer, or event organizer, we may share event content, gallery data, participation data, lead capture responses, event reports, and related event information with that client or organizer as part of the services we were hired to provide.

However, BoothEasy does not sell, rent, or share mobile phone numbers, SMS consent records, MMS consent records, or text-message opt-in data with third parties or affiliates for their own marketing or promotional purposes.

B. With service providers

We may share information with vendors and service providers that help us operate our business, including providers for messaging, email, CRM, payment processing, contracts, scheduling, galleries, cloud storage, analytics, website hosting, marketing tools, customer support, AI processing, image processing, and event technology.

C. With legal, compliance, and safety parties

We may disclose information when we believe it is reasonably necessary to comply with law, legal process, court orders, subpoenas, regulatory requirements, insurance requirements, security obligations, or to protect rights, safety, or property.

D. In business transactions

If BoothEasy is involved in a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction, information may be transferred as part of that transaction, subject to applicable law.

We may share information when you direct us to do so or when you give us consent.

8. Event photography, publicity, and content use

BoothEasy provides photography, video, and digital content services at events. Depending on the event, BoothEasy may capture images or video of attendees, guests, staff, speakers, sponsors, booths, activations, signage, and event spaces.

Event organizers are responsible for providing any required event-level notices, permissions, releases, publicity releases, consent language, or signage related to photography, video, attendee participation, public display, lead capture, sponsor reporting, and content usage.

Unless otherwise agreed in writing, BoothEasy may use selected event content for internal records, service delivery, quality control, portfolio use, marketing, website examples, social media, case studies, sales materials, and promotional materials.

Clients may request confidentiality, blackout restrictions, or no-posting restrictions in writing before the event.

9. Public displays, galleries, and microsites

Some BoothEasy experiences may include public or semi-public displays, including live slideshows, event screens, mosaic walls, sponsor displays, public galleries, branded microsites, social sharing pages, event recap galleries, or on-site displays.

If you choose to participate in an experience that includes public display or sharing, your photo, video, name, submitted responses, AI output, or other content may be visible to other attendees, the event organizer, the client, sponsors, or other viewers.

Event organizers are responsible for providing appropriate notice when public display, gallery, microsite, or sponsor-sharing features are used.

10. AI-generated and AI-enhanced content

Some BoothEasy services may use AI-generated, AI-assisted, or AI-enhanced technology, including AI portraits, AI backdrops, AI retouching, AI transformations, background removal, image enhancement, generative overlays, branded image generation, photo personalization, and similar creative outputs.

Unless otherwise stated in a separate written agreement, BoothEasy does not use attendee photos, videos, prompts, participant data, or final deliverables to train, fine-tune, or improve machine-learning models.

Where BoothEasy uses third-party AI providers, we use them to process the requested output and require appropriate restrictions on their use of submitted content.

AI-generated outputs may vary and may contain errors, distortions, artifacts, inaccuracies, or unexpected results. AI outputs are provided as creative event content and should not be treated as factual, diagnostic, legal, medical, financial, identity-verification, or biometric-identification outputs.

11. Biometric information

BoothEasy’s standard services do not create, extract, compare, identify, or permanently store biometric identifiers such as faceprints, voiceprints, retinal scans, fingerprints, facial geometry templates, or other biometric identifiers for the purpose of identifying a person.

Some BoothEasy services may use automated image processing, face detection, background removal, image enhancement, facial retouching, framing, lighting correction, or AI-generated creative effects. These features are used to provide the requested creative output and are not intended to identify a person or authenticate identity.

If a client requests a service that may involve regulated biometric processing, BoothEasy will require a separate written agreement, documented instructions, and any legally required notices or consents.

12. Cookies and analytics

Our website may use cookies, pixels, tags, analytics tools, and similar technologies to operate the website, remember preferences, understand website usage, measure performance, improve services, and support marketing.

You may be able to control cookies through your browser settings. Disabling cookies may affect website functionality.

13. Data retention

We retain personal information for as long as reasonably necessary to provide services, complete transactions, maintain records, comply with legal obligations, resolve disputes, enforce agreements, support business operations, and maintain event archives.

Photo and video content may be retained for a period determined by our client agreement, gallery settings, operational needs, or legal requirements. Clients may request deletion or archival procedures subject to the applicable contract and operational limitations.

SMS consent records, opt-out records, and communication preference records may be retained as needed to demonstrate compliance and honor communication preferences.

14. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. However, no system, website, transmission, or storage method is completely secure. We cannot guarantee absolute security.

15. Your choices and rights

Depending on your location and applicable law, you may have rights to request access, correction, deletion, portability, restriction, or objection regarding certain personal information. You may also have the right to opt out of certain communications.

To make a request, contact us using the information below. We may need to verify your identity before fulfilling certain requests.

If BoothEasy processes your information on behalf of a client or event organizer, we may direct your request to that client or event organizer.

16. SMS opt-out

To stop receiving text messages from BoothEasy, reply STOP to any BoothEasy text message.

After you opt out, we may send one final confirmation message confirming that your opt-out request has been processed. After that, we will not send further text messages unless you provide new consent.

17. Children’s privacy

Our services are intended for general business, event, and attendee use and are not directed to children under 13. We do not knowingly collect personal information from children under 13 without appropriate consent.

Clients and event organizers are responsible for providing any required notices, permissions, parental consents, school permissions, or releases when events involve minors.

If you believe a child has provided personal information to us without appropriate consent, please contact us.

18. State, provincial, and international privacy rights

Privacy rights vary by jurisdiction. If you are located in a state, province, or country with specific privacy rights, you may contact us to exercise any rights available to you under applicable law.

For Canadian users, we may send commercial electronic messages only as permitted by applicable Canadian anti-spam and privacy laws.

For users in jurisdictions with enhanced privacy rights, we will process requests as required by applicable law.
